Introduction

These terms and conditions govern your use of Sai Cleaning Service and the provision of our professional residential and commercial cleaning services across West London. By engaging our services accessing our website or making a booking you agree to be bound by these terms. Please read them carefully before proceeding with any service request. If you do not agree with any part of these terms please do not use our services.

1. Definitions and interpretation

  • "Company" "We" "Us" "Our": Refers to Sai Cleaning Service and our authorized representatives.
  • "Client" "You" "Your": Refers to the individual or organization booking our cleaning services.
  • "Services": All residential commercial deep-cleaning end-of-tenancy and specialized cleaning services provided by Sai Cleaning Service.
  • "Property": The premises where cleaning services are to be performed.
  • "Booking": A confirmed appointment for cleaning services following acceptance of a quotation or service request.

2. Booking and confirmation

  • All bookings must include accurate comprehensive information including property address property type specific cleaning requirements and preferred service dates.
  • A booking is formally confirmed only upon receipt of written confirmation via email or SMS from Sai Cleaning Service.
  • We reserve the right to decline refuse or cancel bookings if information provided is incomplete inaccurate or if we determine the service cannot be safely or effectively delivered.
  • Quotations are valid for fourteen days from the date of issue unless otherwise stated.
  • Any changes to the scope of work may result in revised pricing and must be agreed in writing before commencement.

3. Pricing and payments

  • All prices are quoted in British Pounds Sterling (GBP) and include VAT where applicable.
  • Payments may be made via online payment secure bank transfer or approved payment methods as specified during booking.
  • Full payment must be completed before service commencement or immediately upon service completion unless alternative payment terms have been agreed in writing.
  • Additional charges may apply for services beyond the agreed scope extra cleaning requirements or properties requiring significantly more time than estimated.
  • We reserve the right to adjust pricing annually or in response to changes in operating costs with reasonable notice to existing clients.
  • Late payments may incur interest charges at the rate of 8% per annum above the Bank of England base rate in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.

4. Cancellations rescheduling and amendments

  • Cancellations must be communicated to Sai Cleaning Service at least 48 hours prior to the scheduled service commencement time.
  • Cancellations made with less than 48 hours notice may be subject to a cancellation fee of up to 50% of the booking value.
  • Cancellations made with less than 24 hours notice or failure to provide access may result in a cancellation fee of up to 100% of the booking value.
  • Rescheduling requests are accommodated subject to availability and must be made at least 24 hours before the scheduled appointment.
  • We reserve the right to cancel or reschedule services due to unforeseen circumstances including severe weather staff illness or emergencies and will provide reasonable notice where possible.

5. Service quality and standards

We are committed to delivering exceptional high-quality cleaning services that meet professional industry standards. Our cleaning specialists are rigorously trained DBS-checked and fully insured. If you are not completely satisfied with any aspect of our service you must notify us in writing within 24 hours of service completion. We will investigate your concerns and where appropriate arrange a complimentary re-clean of the affected areas within 48 hours. Claims made after 24 hours may not be eligible for remedy.

6. Access to property

  • You must provide safe unobstructed access to the property for our cleaning specialists at the scheduled appointment time.
  • Access arrangements including keys codes or presence of a responsible person must be confirmed prior to the appointment.
  • We are not responsible for service delays cancellations or additional charges resulting from access issues including late arrival incorrect access information or unsafe conditions.
  • If access is not provided within 15 minutes of the scheduled appointment time the booking may be cancelled and full cancellation charges applied.
  • You are responsible for securing valuables and ensuring the property is ready for cleaning prior to our team's arrival.

7. Damage liability and insurance

  • Our cleaning specialists exercise utmost care and professionalism when handling your property and possessions.
  • Sai Cleaning Service maintains comprehensive public liability insurance covering accidental damage caused by our employees during service delivery.
  • Any accidental damage must be reported to us immediately and in writing within 24 hours of service completion accompanied by photographic evidence where possible.
  • We are not liable for pre-existing damage wear-and-tear damage to items not cleaned in accordance with manufacturer's instructions or damage resulting from your failure to disclose relevant information about the property or items.
  • Our liability is limited to the direct cost of repair or replacement up to a maximum of £1000 per incident unless higher coverage has been arranged and confirmed in writing.
  • We are not responsible for damage to items deemed fragile valuable or antique unless specific arrangements have been made in advance.

8. Health safety and environment

  • Our cleaning specialists reserve the right to decline tasks that pose unreasonable health safety or environmental risks.
  • You must inform us of any hazardous materials asbestos mold infestations or other health risks present at the property prior to booking.
  • Pets must be secured in a separate area during cleaning services to ensure the safety of our team and the pets themselves.
  • We use professional-grade eco-friendly cleaning products that comply with UK environmental and safety regulations.
  • If you require specific cleaning products due to allergies or preferences please inform us at the time of booking.

9. Client responsibilities

  • You are responsible for ensuring the property is in a reasonable condition and free from excessive clutter that would prevent effective cleaning.
  • You must disclose any special requirements hazards or property-specific information that may affect service delivery.
  • You must ensure all utilities including water electricity and heating are available and functioning during the cleaning service.
  • You are responsible for compliance with all relevant health and safety regulations at the property.

10. Intellectual property

All content displayed on the Sai Cleaning Service website including text graphics logos images and software is the property of Sai Cleaning Service or its content suppliers and is protected by UK and international copyright laws. Unauthorized use reproduction or distribution of this content is strictly prohibited.

11. Data protection and privacy

We process your personal data in accordance with UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Full details of how we collect use and protect your information are set out in our privacy policy. By engaging our services you consent to our data processing practices as described in our privacy policy.

12. Limitation of liability

Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence fraud or fraudulent misrepresentation or any other liability that cannot be excluded or limited by UK law. Subject to the above we shall not be liable for any indirect consequential or special losses including loss of profits loss of business or loss of opportunity. Our total liability for any claims arising from a single booking shall not exceed the total fees paid for that specific service.

13. Force majeure

We shall not be liable for any failure or delay in performing our obligations where such failure or delay results from events beyond our reasonable control including severe weather natural disasters pandemics strikes industrial action transport failures or governmental restrictions. In such circumstances we will endeavor to reschedule the service at the earliest opportunity.

14. Complaints and dispute resolution

We are committed to resolving any concerns or complaints promptly and fairly. If you have a complaint please contact us immediately using the details provided below. We will acknowledge your complaint within 48 hours and aim to provide a full response within seven working days. If we cannot resolve your complaint to your satisfaction you may escalate the matter through our formal complaints procedure or seek independent dispute resolution.

15. Amendments to terms

We reserve the right to amend these terms and conditions at any time. Any changes will be posted on this page with an updated revision date. Continued use of our services following such changes constitutes acceptance of the revised terms. For existing regular clients we will provide reasonable notice of any material changes that may affect their service arrangements.

16. Governing law and jurisdiction

These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms or our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.

17. Severability

If any provision of these terms is found to be invalid unenforceable or illegal by a court of competent jurisdiction the remaining provisions shall continue in full force and effect.

18. Entire agreement

These terms and conditions together with our privacy policy and any written quotation or booking confirmation constitute the entire agreement between you and Sai Cleaning Service and supersede all previous agreements understandings and representations.
